What the app does

The AI Requirements Bridge turns rough feature ideas into complete, developer-ready specifications — directly inside Business Central:

  • Capture a requirement with a title, a free-text description and a category.
  • Refine it in an AI-guided Q&A dialog: the AI states one assumption and asks one question per round, and scores how complete the requirement is after every answer.
  • Generate a consistent set of documents once the quality gate is passed: requirements list, solution design, technical architecture, acceptance criteria, effort estimate, developer notes and release notes — each as Markdown and PDF, ready to hand to any development team or partner.
  • Send the complete package as a quote request by email — through the standard Business Central email infrastructure, fully logged in the requirement history.
  • Choose your AI: run the app on the Microsoft-billed Business Central AI resources, or on your own Azure OpenAI, OpenAI or Anthropic subscription — on-premises included.

Getting started

  1. Install the app from Microsoft AppSource into your Business Central environment.
  2. Assign licenses in the Microsoft 365 admin center (Billing → Licenses) to every user who should create requirements or generate documents. Users without a license can read everything but cannot make changes.
  3. Assign permission sets in Business Central (page Users): AI Req. Bridge - Reader for read-only users, AI Req. Bridge - Creator for users who work with requirements, AI Req. Bridge - Bridge Admin for the person who maintains the setup.
  4. Activate the Copilot capability: open the page Copilot & agent capabilities, and activate CDM Requirements Bridge. Depending on your environment's Azure region you may also need to allow data movement across geographies. See the Copilot capability page for details on data handling and billing.
  5. Choose the AI billing mode: on the AI Requirements Bridge Setup page, the AI Billing Mode field decides whose subscription pays for the AI calls. With Microsoft Billed (the default in the cloud), Microsoft bills the consumption to your organization — configure Copilot consumption billing in the Business Central admin center; without a billing setup the AI dialog cannot run in this mode. With Custom Billed, the calls run on your own AI subscription (Azure OpenAI, OpenAI or Anthropic): configure at least one provider on the AI Providers page, save the API key, test the connection and set Enabled and Default. The AI Provider Status field on the setup page states at any time which service will serve the next AI request. On-premises installations always use Custom Billed.
  6. Open the setup page: search for AI Requirements Bridge Setup. The app initializes sensible defaults on installation — check the number series for requirements, the score threshold (default 85) and, optionally, extra context that is passed to the AI with every request (for example a short description of your company and system landscape).

Working with requirements

Open Requirements from the role center or via search. Create a new requirement with a title, description and category. Optionally link Business Central objects (tables, pages, codeunits, reports) or master records (customers, vendors, items) to the requirement — the AI uses the object metadata to ground its questions and the generated documents. Only metadata is shared with the AI, never the content of master records.

Every requirement moves through a fixed lifecycle: New → In Q&A → Ready for Documents → Documents Generated → …. Each status change, field change and dialog round is recorded in an immutable history on the requirement card.

The AI dialog

On the requirement card, choose Start AI Dialog. The AI reads the description and any linked objects, then states one assumption and asks one question.

Every round ends with the same answer bar — three buttons and a free-text field: Correct confirms the assumption; Not quite … tells the agent its assumption is wrong in some point (describe what differs in the text field); Add detail … keeps the assumption but adds a missing aspect. Whatever you enter becomes part of the requirement and flows into the generated documents. Free-text answers can be up to 2,000 characters.

After every answer the AI scores the requirement's completeness (0–100). When the score reaches the threshold from the setup (default 85), the requirement becomes Ready for Documents. The agent works through defined question categories — process, data, integration, business rules, UI and security — and at least five must be covered.

The dialog is limited to 10 rounds. If the threshold is not reached by round 10, the requirement is moved on anyway — you can always improve the description and run the dialog again later.

Tips for good results: write the initial description in the language you want the documents in — the AI mirrors your language. Mention the business problem, not just the desired feature. Link the objects the change is about; the dialog gets noticeably more precise.

Generating documents

  1. On a requirement that is Ready for Documents, choose Generate Documents….
  2. Select the document types you need and choose Start Generation. The dialog shows a token estimate per document.
  3. The documents are generated one after another; progress is shown live. Each document is stored as Markdown and as a rendered PDF with your requirement number and version in the file name.

Documents are versioned: regenerating a document keeps all previous versions. You can open the Markdown in a built-in editor, make manual corrections and save them as a new version — later documents in the same set use your corrected content as context. The effort estimate document additionally stores story points and an hour range on the requirement.

Sending the quote request by email

You can send the finished document package as a quote request directly from Business Central:

  1. One-time setup: the app registers the email scenario AI Requirements Bridge – Quote Request. Open Email Scenario Assignment and assign the scenario to the email account that should send quote requests — the standard Business Central email setup applies.
  2. On the requirement card, choose the action Send by Email …. Choose the recipients via the prepared toggles (cdm-IT and/or partner, plus additional recipients as free text) and review the document selection — all generated documents are preselected with their latest version.
  3. With the option Review in email editor before sending enabled, the draft opens for a final check. Subject and message body are generated automatically, and the documents are attached as PDFs. The dispatch is recorded in the requirement history.

Licensing and read-only mode

The app is licensed per user through Microsoft AppSource. Users with an assigned license have full access according to their permission sets. Users without a license see all requirements and documents in read-only mode — they cannot create or change anything. This also applies after a subscription ends: your data stays readable and exportable in your environment.

Frequently asked questions

What does the AI usage cost?

That depends on the selected billing mode: with Microsoft Billed, AI consumption is billed by Microsoft to your organization (Copilot credits or pay-as-you-go), separately from the app subscription. With Custom Billed, your own AI provider (Azure OpenAI, OpenAI or Anthropic) bills you directly. In both modes, the token estimate in the document selection dialog and the token consumption shown per document help you anticipate the cost.

Can I run the app on my own AI subscription or on-premises?

Yes. Set the AI Billing Mode to Custom Billed in the setup and configure your own Azure OpenAI, OpenAI or Anthropic subscription on the AI Providers page. In on-premises installations, Custom Billed is the only available mode, because the Microsoft-billed Business Central AI resources exist only in the cloud. Which data is sent to the AI?

Only what is needed for the current request: title, category, description, previous dialog answers, linked object metadata and the optional extra context from the setup. Master record contents (for example customer addresses or credit limits) are never transmitted. Details: Copilot capability page and our privacy statement.

Can I try the app before buying?

Yes — the AppSource plan includes a 30-day free trial.

The AI dialog does not start — what should I check?

(1) Is the Copilot capability CDM Requirements Bridge activated? (2) With Microsoft Billed: is Copilot consumption billing configured in the admin center? (3) With Custom Billed: does the AI Provider Status field on the setup page read "Custom Billed without a ready provider"? If so, configure a provider, test the connection and set Enabled and Default. (4) Does the user have an assigned app license and the Creator permission set? (5) Is the requirement in status New or In Q&A with no unanswered question?

Why can a colleague not edit anything?

They most likely have no app license assigned in the Microsoft 365 admin center — unlicensed users are read-only by design.
